Scanner –  Operational Guide For Offline Scanning (Download & Upload)

In preparation for the scanners to be ‘gate ready’ the scanners need to be charged, switched on, and connected to a Wi-Fi network or 3G to download the barcodes from the FT dashboard ready for offline scanning. The Wi-Fi and mobile data must then be switched off and then they are ready to go. This guide should help you do this.

  1. On receipt of scanner – open the box, plug in (right-hand side) and charge the scanners
  2. Switch On – using the small black button on the mid right hand edge of the scanner

The Home Screen – will look like this:

  1. Swipe Up to unlock. Swipe up again to open the menu and find the app ‘Settings’
  2. Once in the Settings app select Wi-Fi. Then select the Wi-Fi network you wish to use and enter the password. If not using Wi-Fi you will need to insert a sim card and connect to 3G using mobile data.
  3. Once connected, exit settings by pressing lightly the top black button on the right side of the device, which shrinks the screen. Swipe up to close the app completely.
  4. Now open the FT app on the home page, select the event from the dropdown menu below ‘DOWNLOAD EVENT DETAILS’
  5. This will automatically start downloading the tickets for the events on to the scanner. When you see the message ‘Ticket Details Downloaded’, enter Scanner Location Name and click ‘Start’.
  6. Return to Settings once your data is downloaded, turn Wi-Fi off, and swipe down the screen to put the device in Airplane mode.
  7. Once ‘Airplane Mode’ is selected it is important restart the FT app.  Hold the home button (bottom orange button on the side or for newer scanners the top black button with a circle on) on the right-hand side of the scanner.  This will minimise the FT app screen so then swipe to the side or upwards to close it.
  8. To start scanning reopen the FT app, enter or select the scanner location from dropdown menu and press Start

You should now be ready to scan the barcodes or you can type them in using the keypad if required. They will appear Green (image a) if OK and Red (Image b) if it has already been used or copied. Be careful the scanner can scan a barcode twice within the same second if double clicked

  1. Once the event has finished, close FT app. Via settings Turn off ‘Airplane Mode’, and reconnect the scanner to  Wi-Fi or 3/4G connection.  Once connected, re-open the FT app and ‘FT Offline’ will appear
  2. AWAITING UPLOAD’ will display underneath the scans collected information. Press ‘Upload x Scans’. This will upload the scan information captured into the dashboard. Once complete, this should read ‘0 Awaiting Upload’

Once uploaded press ‘Clear Download’ and close the FT app.

  1. Repeat for the next event

Scanner buttons- a quick guide

Black side button – On /Off

To scan either press middle BLUE/ORANGE scan button in the middle of the keyboard, or on the side.

Download Event Details

Important that the Event in the Future Ticketing is set to display True for it to appear when downloading tickets on to the scanners.  

In the dashboard go to Event - View Event - See Display will be 'True' or 'False'

If the Event is 'False' then go to Actions - Edit - Display on Website (bottom of the page) - Select Yes

If you wish to 'Close Sales' for the Event then this can be edited on the same screen.

Online Event

If there is a secure reliable Wi-Fi network or mobile network coverage is good where the user is scanning tickets then there is the option to switch to scanner from 'Offline' to ‘Online’.

First, they would need to turn off Airplane mode.  Then switch on the mobile data or connect to a Wi-Fi network.

Next wait for signal, reopen the FT app and if any scans are awaiting to be uploaded press 'Upload Scans' 

When the scans are uploaded or if there are no scans to be uploaded 'Clear Download' will appear on the screen so tap it.  Once completed enter or select the scanner location name and press start to scan 'Online'.
