Add Events and Products (tickets) in Future Ticketing

Before e-tickets will appear on out tickets pages on Garthorpe.com and MidlandsPointing.com, as well as the national site, we need to add events and tickets within the Future Ticketing system.

See if an event already exists

  1. Login to https://dashboard.futureticketing.ie/.
  2. In the dashboard find the search box in the top left corner. Type in the name of the event and see if the live results show the event already exists.
  3. If the event already exists, click on the live result to open the event page.

Add the event if it doesn't already exist

  • From the Future Ticketing Dashboard click on Events and then Add Event
  • Give the event a name. I suggest adding the location too, unless that is obvious e.g. Pytchley at Guilsborough
  • Using the Ctrl key to select multiple entries highlight the places from where tickets should be available. I suggest Future Ticketing, Point to point host page, Midlands Pointing, Garthorpe (if appropriate) and possible Racing Fixtures. Make sure no others are selected to avoid confusion.
  • Add a description along the lines of "The x point-to-point at Y, <date>"
  • Scroll down and add an image. This will be the image which shows up on the ticketing page under the name of the event. Contact Nico if you need one.
  • Select the event date and time. Suggest something like 10am.
  • Start sales can be left at today's date.
  • End date should be the evening before the event to allow us to download the data onto the scanners without people buying tickets as we are trying to do it.
  • Leave everything else as it is but change the Display on Website option to Yes.

Add a new Product

  • From the Dashboard, Products then Add Product.
  • Select the Website from where the product can be purchased, see above.
  • Give the product a clear and unique name e.g. Adult Admission - Toytown Races
  • Repeat the name in the Internal box.
  • Description should be something like "Admits one adult over 16 to the Toytown Point-to-point"
  • Enter the price
  • Change the Display option to Yes

Add the Product to the Event

  • To quickly find your event (It's a big list) start typing the name of the event into the search box. All database items which contain the name will appear so be careful to select the correct event.
  • The Event Summary will open. Click on Product(s)
  • In the Products screen choose Add
  • Select the new Product you just created from the dropdown list of products
  • Enter the Price (I know you have already done that but we need to do it here again for some reason)
  • Leave everything else but change Display to Yes.

Now it is wise to go to one of the sites you wish to sell the tickets from and see if the Event shows up in the list.

If it does then click on the event to check that the product appears and is the correct price.

If the event and/or product do not appear on the ticketing website then return to Future Ticketing and click on Events, View Events and scroll down until you find you event. To the right of the event there should be a green marker which you can hover your mouse over to confirm that everything has been done properly. If it is amber then hover over it to see what you have forgotten or entered incorrectly.
